Main purpose of job:

To professionally answer and handle all incoming calls and to greet all visitors into the building. To manage the info@ email address and forward to the correct person as well as completing copy quotes and other administration tasks.

Key responsibilities:

  • To answer all calls in a timely manner and route calls using the system speedily and accurately to the desired recipient.
  • Taking and forwarding messages to ensure callbacks.
  • To manage a holiday diary to ensure that calls are redirected accordingly.
  • To professionally and warmly welcome visitors into the DW Windsor building, ensure the visitor book is completed, contact the person with whom the guest is visiting and if any delay is to occur, provide refreshments.
  • To receive in all posts, to open all inbound posts with the exception of items marked private and confidential, to sort and distribute to each department.
  • To dispatch all outbound posts using the correct format and the most efficient manner to post.
  • To maintain a high level of tidiness in the reception, guests and post room areas, ensuring that any promotional material or news items on display are up to date.
  • To action emails into the info@ e-mail address and distribute accordingly and within the guidance given by the customer service manager.
  • To complete copy quotation requests to quotations@ e-mail address and requests of small amendments and send to the customer and relevant salesperson.
  • Take credit card payments for small number of sales orders.
  • Undertake additional tasks duties, and assignments as may be required from time to time as directed by the customer service manager or sales director.

Ideal Person:

  • Exceptional communication skills via email, telephone & face to face.
  • Good basic IT knowledge.
  • Previous administration experience is ideal.
  • Experience using SalesForce or a similar CRM is ideal.

Purpose of Job:

To respond to, input and progress all inbound quotations from our external sales team and other customer requests, through inbound email, mail and telephone calls.  To deal quickly and accurately with the information being passed on and liaise with other departments to ensure a high level of accuracy and professional approach to customer service.

Key responsibilities:

  • Deal professionally with quotation enquiries, ensuring timely processing;
  • Accurately raise supporting documentation as required;
  • Check price margins for quotes and keep accurate records within files as to how prices were gathered;
  • Prioritise workload and check your work to ensure that errors are kept to an absolute minimum;
  • React in a timely fashion to internal and external customer requests;
  • Deal with customers in a professional manner to ensure timely response and that Customer Service “Best Practice” is used at all times;
  • Inform all customers by email, letter or telephone of any and all information regarding their quotation or order to ensure they are fully informed of any changes or revisions;
  • Accurately raise orders for quotations and ensure orders are checked thoroughly.

Ideal Person:

  • You will be an effective communicator with strong attention to detail;
  • You will be technically minded with an interest in manufacturing;
  • You will be able to multi-task, prioritise, manage your time effectively and work well under pressure;
  • You will be proficient with Microsoft Office Suite inc. Excel, Outlook & Word 
  • You will have a confident telephone manner;
  • You will have a positive can-do attitude with a willingness to learn;
  • You will have experience of working with Salesforce or a similar CRM.

Experience:

  • You will have a minimum one year’s experience in a similar customer service role.
